Automate rent follow-ups with AI-generated tenant reminders, overdue-payment escalation, activity logging, and weekly collection reports using n8n, Google Sheets, Gmail, OpenAI, and Telegram.
How it works
- The workflow runs through two scheduled processes.
- Every day at 8:00 AM, it reads tenant records from Google Sheets and validates required fields such as tenant name, email, rent amount, and due day.
- Unpaid tenants whose rent is due receive a personalized reminder generated by OpenAI.
- The tone automatically progresses from gentle to firm and final based on how many days the payment is overdue.
- Valid reminders are sent through Gmail and recorded in a separate Google Sheets log. Firm or final reminders also trigger a Telegram alert to the landlord.
- If tenant data is incomplete or the AI returns an invalid response, the workflow sends an error notification instead.
- Every Monday at 9:00 AM, a second process aggregates the ledger data, generates a concise weekly collection report, and delivers it through Gmail and Telegram.
Setup
- Import the workflow into n8n, then connect your Google Sheets, Gmail, Telegram, and OpenAI credentials.
- Create a Google spreadsheet containing two worksheets:
- TenantLedger with the columns tenant_name, unit, rent_amount, email, due_day, status, and reminder_stage.
- ReminderLog with the columns reminder_date, tenant_name, unit, rent_amount, days_overdue, stage, and email_sent.
- Update both Google Sheets nodes with your spreadsheet ID.
- Replace the placeholder Telegram chat IDs with the landlord’s actual chat ID, and configure the recipient address in the weekly Gmail node.
- Finally, check the n8n instance timezone and adjust the daily and weekly schedules before activating the workflow.
Requirements
- An active n8n instance
- Google account with access to Google Sheets and Gmail
- OpenAI API account and available API credits
- Telegram bot and landlord chat ID
- Structured tenant ledger using the required column names
Customization
- You can modify the reminder stages, overdue thresholds, email tone, AI prompts, and escalation rules to match your rental policy. The default stages are gentle for 0–4 days overdue, firm for 5–9 days, and final for 10 or more days.
- You can also change the workflow schedules, weekly report recipient, Telegram notification text, spreadsheet structure, email templates, and reporting metrics. Additional delivery channels such as Slack, WhatsApp, or SMS can be added if required.
