Quick overview
This workflow uses n8n Forms, Google Sheets, Gmail, and Google Drive to track subcontractor payments, request and validate conditional and unconditional lien waivers, store waiver files, and send reminder emails until the required waivers are received.
How it works
- Receives a payment request via an n8n Form and reads existing payment records from Google Sheets.
- Creates a new payment entry with a unique Payment ID in Google Sheets and sends Gmail emails to the payee and owner requesting the matching conditional waiver with an upload link.
- Receives a signed waiver upload via an n8n Form, validates the waiver type, amount, and (for progress payments) through-date against the payment in Google Sheets, and saves the uploaded file to Google Drive.
- Logs the waiver details to a Google Sheets “Waivers” tab, updates the related payment status when applicable, and emails the owner (and the payee if the waiver needs corrections) via Gmail.
- Receives a “marked paid” submission via an n8n Form, updates the payment as paid in Google Sheets (optionally requiring a conditional waiver first), and requests the unconditional waiver from the payee via Gmail.
- Runs every morning on a schedule to chase missing conditional or overdue unconditional waivers by emailing payees, increments reminder counters in Google Sheets, and emails the owner a summary of payments on hold and overdue waivers.
Setup
- Connect Google Sheets, Gmail, and Google Drive credentials in n8n.
- Run the “Create my spreadsheet” path once to generate the Google Sheets file, then copy the spreadsheet ID into the workflow settings.
- Fill in the workflow settings for owner email, your n8n base URL (used to build the waiver upload form link), timezone, and the Google Drive folder ID where waiver files should be stored.
- Publish the workflow and use the three n8n Form URLs (“request-lien-waiver”, “send-lien-waiver”, and “mark-waiver-paid”) in your payment and waiver collection process.
