Every walk ends with a report card sitting in the owner inbox. This workflow takes the visit log from an n8n form, matches the dog against the Google Sheets roster, has DeepSeek write an owner-friendly report card, logs the visit and emails the owner, and flags anything that needs a human on Telegram.
Last updated: October 2026.
Quick Overview
This workflow receives each dog-walk visit on the When Visit Logged form, tidies the fields in Normalize Visit and checks them in Validate Visit before anything else happens. Read Dog Roster pulls the roster from Google Sheets, Match Dog to Roster and Check Known Dog confirm the dog is on it, and Build Report Prompt turns the visit details and the dog profile into a prompt for the Draft Report Card agent. Parse Report Card reads the JSON card back, Log Visit appends the visit and the card to the Visits tab, Email Report Card to Owner sends it through Gmail, and Check Concern escalates anything flagged to operations on Telegram. Two scheduled lanes close the loop: Weekly Pack Report reads the recent visits and emails a weekly summary, and Daily Route Brief reads the regularly scheduled dogs and sends the walker the day route on Telegram.
How it works
- When Visit Logged receives a new submission from the n8n form with the dog name, walker name, date, duration and notes.
- Normalize Visit tidies those fields, and Validate Visit stops the run when a required field is missing. Email Ops Invalid Visit and Alert Ops Invalid Visit tell operations about the incomplete visit on Gmail and Telegram.
- Read Dog Roster reads the Dogs roster from Google Sheets, Match Dog to Roster matches the submitted name to a roster entry, and Check Known Dog sends Alert Ops Unknown Dog to Telegram when the dog is not on the roster.
- Build Report Prompt assembles the visit details and the dog profile, and Draft Report Card runs on the Report Model (deepseek-v4.1-flash) to produce a JSON report card with a subject, a body and an optional concern flag.
- Parse Report Card reads that output, Log Visit appends the full visit and report card to the Visits tab, and Email Report Card to Owner emails the card to the owner through Gmail.
- Check Concern escalates a flagged card: Alert Concern sends operations the concern note and its context on Telegram.
- Weekly Pack Report runs on a schedule, Read Recent Visits and Compute Weekly Stats build last week numbers, Draft Weekly Summary writes the summary on the Weekly Model, and Email Weekly Summary sends it through Gmail. Daily Route Brief reads the dogs for the route, Build Today Route assembles the list and Send Route To Walker sends it on Telegram.
Setup
- Connect the Google Sheets OAuth credential and update the spreadsheet id and the sheet names for the Dogs roster and the Visits log.
- Connect a Gmail OAuth2 account and set the recipient addresses for the owner report cards and the internal notification and weekly summary emails.
- Connect the Telegram bot credential and set the chat id used by the invalid visit, unknown dog and concern alerts and by the daily route brief.
- Add the chat model credential on Report Model and Weekly Model and confirm the selected model (deepseek-v4.1-flash) is available for the report cards and the weekly summary.
- Publish the n8n form and share the form URL with your walkers so they can submit visit logs.
Quick Answers
What happens if a walker submits an incomplete visit?
Validate Visit stops the run, and operations is told on Gmail and Telegram that an incomplete visit came in.
What if the dog is not on the roster?
Match Dog to Roster finds no entry and Check Known Dog sends Alert Ops Unknown Dog to Telegram instead of writing a report card.
Who sees a report card that flags a concern?
The owner still gets the card by email, and Check Concern sends the concern note and its context to operations on Telegram in the same run.
Where do the weekly numbers and the daily route come from?
Weekly Pack Report reads the Visits log and emails last week numbers, while Daily Route Brief reads the roster and sends the walker the day route on Telegram.
