Track new ATS job postings in Google Sheets with Apify ATS Jobs Scraper

Quick overview

Every morning, this workflow asks the ATS Jobs Scraper Actor on Apify for new jobs from the career boards you list (Greenhouse, Lever, Ashby, Workday, Workable, Recruitee, Teamtailor), keeps those matching your rules, and writes dated CSV files plus a per-company summary. No Google account needed.

How it works

  1. Runs every morning at 8:00 on a schedule.
  2. Reads all your settings from one "Search settings" node: companies, include and exclude title keywords, include and exclude locations, remote-only, maximum jobs, a cost cap, the Actor's state store name and the output folder.
  3. Calls the ATS Jobs Scraper Actor on Apify, which returns only jobs it has not seen before for that state store.
  4. Keeps the jobs that match your keyword, location and remote rules, and turns each into a clean row (Job ID, company, title, location, remote, department, posted date, salary, URL, ATS, first seen).
  5. Skips any Job ID already saved in an earlier run.
  6. Writes two CSV files with the same timestamp: the new jobs, and a summary with the number of new jobs per company and ATS.
  7. On a day with no new jobs, writes no file and records why (nothing returned, nothing matched, or all already saved).
  8. If the Apify call fails, the execution stops with a plain-language reason, such as a wrong token or no usage left.

Setup

  1. Copy your Apify API token (Apify Console, Settings, API & Integrations). In n8n create a Header Auth credential with Name Authorization and Value Bearer followed by the token, and select it in "Run ATS Jobs Scraper".
  2. In "Search settings", set your companies and rules. Each value is explained in the node's notes.
  3. Make sure n8n can write to the output folder. In n8n 2.x the Read/Write Files from Disk node writes only inside allowed folders: /home/node/.n8n-files in the official Docker image, otherwise a folder listed in N8N_RESTRICT_FILE_ACCESS_TO. This means a self-hosted n8n.
  4. Run it once by hand, open both CSV files, then activate it.

Requirements

  • An Apify account and API token. A self-hosted n8n where Read/Write Files from Disk can write to your output folder. Built and tested on n8n 2.45.4.

Customization

  • Change the schedule in "Every morning at 8", adjust the rules in "Search settings", or swap the file nodes.

Additional info

The Actor is paid per job returned ($0.002 per job), and the maxUsd setting caps each run. Disclosure: I (fecklesspleb) built this template and the Actor it calls.
