Shared cameras, laptops and drones go missing in a spreadsheet nobody checks. This workflow runs a small equipment desk for you: checkout requests are approved or waitlisted automatically, returns close the loan and hand the item to the next person in line, and overdue items are chased on a steady cadence with escalation when they stay out too long.

Quick Overview
Three lanes share one Google Sheets ledger. A checkout form validates the request, checks the asset catalog and open loans, and has a DeepSeek agent write the confirmation or decline. Declined requests for real assets join a Waitlist tab. A return webhook matches the open loan, closes it, sends a receipt, flags damage to ops and emails the first person waiting for that item. A daily sweep chases items that are due or overdue, skips loans already chased in the last few days, records the reminder stage and escalates items more than a week overdue to a manager. Every Monday a utilization report goes out by Gmail and Telegram.
How it works
- The n8n Form collects borrower, email, department, asset, days needed and notes. Invalid requests email ops and stop.
- Assets and Loans are read, and the request is checked against the catalog and open loans. A DeepSeek agent drafts the reply, with a fallback body if the JSON is empty.
- Available items are appended to Loans and confirmed by email. Unavailable items get a decline, and known assets join the Waitlist. Both emails are written to ActivityLog with the Gmail message id.
- A POST to equipment/return with loan_id or asset_id and condition matches the open loan, or emails ops when nothing matches.
- The loan is marked returned and the borrower gets a receipt that notes late returns. A condition mentioning damage, cracks, faults or missing parts emails ops.
- The Waitlist is read, the earliest waiting request for that asset is emailed, and the row is marked notified.
- At 07:00 the sweep reads Loans, tiers each open loan as due today, just overdue, overdue or long overdue, and drops loans already chased at the same tier in the last three days, or two for long overdue.
- DeepSeek drafts each chase email, Gmail sends it with retries, and the tier plus date is written to reminder_stage. Failed sends go to ActivityLog.
- Long overdue items are listed in one email to a manager, and the full chase list is posted to Telegram. A quiet day sends an all clear note.
- Every Monday at 08:00 the report counts new loans, returns, open and overdue items and the most borrowed assets.
Setup
- Create a spreadsheet with Assets (asset_id, asset_name, category), Loans (loan_id, asset_id, asset_name, borrower_name, borrower_email, department, checked_out_at, due_date, returned_at, status, reminder_stage, notes), Waitlist (waitlist_id, requested_at, asset_id, asset_name, borrower_name, borrower_email, status, notified_at) and ActivityLog (logged_at, loan_id, asset_id, event, detail, gmail_message_id).
- Connect Google Sheets and point every Sheets node at your file.
- Add your DeepSeek compatible chat credential on Decision Model and Chase Model.
- Connect Gmail and replace [email protected] with the ops and manager inboxes.
- Add a Telegram bot and replace chat ID 123456789.
- Update the asset dropdown in the form and send returns to the Return Report webhook.
Quick Answers
Will a late borrower get an email every morning?
No. The sweep stores the tier and date in reminder_stage and skips a loan chased at the same tier in the last three days, or two days once it is long overdue.
What happens when someone asks for an item that is out?
They get a decline that names the due back date, and they join the Waitlist. When the item is returned, the first person waiting gets an email.
Who hears about long overdue items?
Items more than seven days overdue are collected into one escalation email to the manager address after each sweep.
How is damage handled?
If the return condition mentions damage, a crack, a fault or missing parts, ops gets an email to inspect the item before the next checkout.
