Quick overview

This workflow listens for changes to tasks in an Asana project, looks up the linked Google Calendar event from an n8n Data Table sync log, and updates the event’s title, description, attendees, or date/time to match the latest task details.

How it works

  1. Triggers when an Asana task changes in the selected workspace/project.
  2. Looks up the task’s sync record in an n8n Data Table and ignores updates that were already synced based on the stored last-synced timestamp.
  3. Fetches the Asana task details (including assignee and followers) and retrieves the linked Google Calendar event.
  4. Compares the task fields to the event fields to detect changes in name, description, attendees (company-domain), or start/end times.
  5. Updates the Google Calendar event fields for each detected difference.
  6. Writes the task’s latest modified timestamp back to the Data Table sync log to prevent reprocessing the same change.

Setup

  1. Connect Asana OAuth2 credentials and select the workspace and project to monitor in the Asana trigger.
  2. Connect Google Calendar OAuth2 credentials and ensure the workflow user has access to the target calendar.
  3. Create/select the n8n Data Table used as the sync log and ensure it contains CalendarEventID, AsanaTaskID, and LastSyncedUpdate columns, then select the same table in both Data Table steps.
  4. Set your Google Calendar ID and your company email domain in the configuration step (used to decide which attendees to add/remove).
