Triage real estate seller leads with OpenAI, Google Sheets, and Gmail

Quick overview

This workflow captures real estate seller leads via an n8n form or webhook, validates and deduplicates them against Google Sheets, generates a structured pre-call brief with OpenAI, and routes alerts and lists via Gmail (and optional Slack) for follow-up.

How it works

  1. Receives a seller lead from the n8n form or a POST webhook request.
  2. Normalizes the fields, validates required contact and value data, and emails you a rejection notice (and returns HTTP 422 for webhook callers) when the lead is invalid.
  3. Reads the existing Leads tab in Google Sheets to detect repeat leads by phone/email and calculates rule-based underwriting “stoplights” (cash, subject-to, seller finance) plus a max cash offer estimate.
  4. Uses an OpenAI chat model to produce a structured pre-call brief (summary, motivation score, questions, risks, next step), falling back to a rules-only brief if the AI step fails.
  5. Writes the result to Google Sheets by updating the existing lead row or appending a new one.
  6. Routes the lead by priority: sends a hot-lead alert via Gmail (optional Slack), adds warm leads to a Daily Call List sheet, adds cold leads to a Nurture sheet, and returns a JSON triage response to webhook callers.
  7. Runs every morning at 8am to email a Gmail digest of warm leads added to the Daily Call List in the last 24 hours.

Setup

  1. Create a Google Sheet with Leads, Daily Call List, and Nurture tabs and add the column headers the workflow expects, then paste the spreadsheet URL into each Google Sheets node.
  2. Add Google Sheets OAuth2 credentials for all Google Sheets steps.
  3. Add Gmail OAuth2 credentials and replace [email protected] in the Gmail nodes (hot lead alert, rejected lead notice, and daily digest).
  4. Add an OpenAI API credential for the OpenAI chat model used by the AI agent.
  5. If using the webhook intake, copy the production webhook URL and configure your CRM/website to POST the expected lead fields to it.
  6. (Optional) Enable the Slack node, connect Slack credentials, and set the target channel for hot-lead alerts.
