A docket lives or dies on the reminder ladder, and a spreadsheet plus a tickler file usually means at least one tier gets missed. This workflow takes a deadline from a form, applies the firm service rule, blocks duplicate entries, writes a checked docket note, and then emails each responsible attorney on the 30, 14, 7, 3, 1 and 0 day tiers, escalating anything overdue to the managing partner.

Quick Overview
A paralegal dockets a deadline on the n8n Form. Validation parses the date, adds the service extension and sets a priority. Bad entries go to a Docket Errors tab and back to the admin. Valid entries are matched against open rows on the Docket tab so the same deadline is never docketed twice. DeepSeek writes the docket title, summary, prep checklist and risk note, and a Code check flags weak notes for the admin without holding up the deadline. If the Sheets save fails, the admin gets the full card by email to enter by hand. Every morning the open docket is checked: the firm gets one brief, and each attorney gets their own reminders, routed by severity and logged with the Gmail message id.
How it works
- The form captures matter, client, deadline type, date, service method, responsible attorney and notes.
- Validation reads ISO or US dates, adds 5 days for mail or 2 for courier service, rejects dates far in the past or more than two years out, and derives critical, high or normal priority.
- A rejected entry is written to Docket Errors and emailed to the firm admin. It never reaches the live docket.
- Check Duplicate Docket compares matter, deadline type and date with open Docket rows. A match emails the admin the existing docket id and stops.
- DeepSeek writes the note using only what the paralegal entered. Check Note Quality flags missing summaries, short checklists or a date that differs from the docketed one.
- The row is saved to Docket with a note_review flag and retries. If the save still fails, the admin gets an urgent email with the full card.
- The docket card is emailed to the attorney, and a weak note triggers a separate review email to the admin.
- Every day at 07:00 the open docket is placed on the reminder tiers. Quiet days stop there. Busy days get a DeepSeek-ranked firm brief.
- The same run reads the Reminder Log, skips anything already sent today, and builds one reminder per deadline on a tier.
- A Switch routes overdue items to the attorney with the managing partner copied, critical items inside three days to a firmer critical reminder, and the rest to a standard reminder. Each send is logged with its message id.
- On Friday at 16:00 a memo covers the next two weeks, overdue items and load per attorney.
Setup
- Create a workbook with Docket (add a note_review column), Docket Errors and Reminder Log (docket_id, tier, severity, owner_email, sent_on, message_id) tabs.
- Connect Google Sheets and Gmail on every Sheets and Gmail node.
- Add an OpenAI-compatible credential pointing at DeepSeek on Docket Model and Brief Model.
- Replace the firm admin placeholder in Validate Docket Entry, the partner address in the ccList of Email Overdue Escalation, and the brief and memo recipients.
- Check the service extension days and the tier list against your firm rules.
- Share the form URL with docketing staff and set status to closed in the Docket tab when work is filed.
Quick Answers
Can the same deadline be docketed twice?
No. Before the AI step, the entry is compared with open Docket rows on matter, deadline type and date. A match is skipped and the admin gets the existing docket id.
Who gets the reminders?
The firm gets one morning brief. Each responsible attorney also gets a reminder per deadline on a tier, and overdue items copy the managing partner.
What if Google Sheets is down when a deadline comes in?
The save retries three times. If it still fails, the admin gets an urgent email with the full docket card so the date can be entered by hand.
Does the model set or change the deadline date?
No. The date comes from the paralegal entry plus the service rule. The note check also flags a summary that mentions a different date.
