Monitor weekly AI search readiness with Apify, Google Sheets, and Gmail

Quick Overview

This workflow runs every Monday to audit your site’s AI crawler readiness using the Apify AI Search Readiness Audit Actor, logs per-page scores to Google Sheets, and emails a single Gmail alert when any pages fall below your score threshold.

How it works

  1. Runs every Monday at 8:00 on a schedule.
  2. Loads the list of site URLs, pages-per-site limit, alert threshold, and alert recipient email from the workflow configuration.
  3. Uses Apify (tanlabs~ai-search-readiness-audit) to audit each site (optionally via sitemap) and return per-page readiness results, including an llms.txt draft when missing.
  4. Formats the audit results into one normalized row per page with overall score, sub-scores, blocked AI bots, and top fixes.
  5. Appends the per-page rows to a Google Sheets tab to build a dated score history.
  6. Filters for pages with a score below the configured threshold and compiles them into a single HTML summary email.
  7. Sends the alert email via Gmail to the configured recipient.

Setup

  1. Add an Apify API token credential and ensure the workflow can run the Apify actor tanlabs~ai-search-readiness-audit.
  2. Add a Google Sheets credential, then select the target spreadsheet document and sheet tab in the Google Sheets append step.
  3. Add a Gmail credential with permission to send emails.
  4. Update the configuration values for sites, pagesPerSite, alertBelow, and alertEmail to match your domains, audit depth, threshold, and recipient.
