Quick Overview
This workflow runs daily to monitor company hiring velocity using an Apify actor, scores and summarizes results with OpenAI, stores them in Google Sheets, and sends hot signals to Slack for approval plus warm signals via Gmail, with a weekly Gmail report and Slack error alerts.
How it works
- Runs on a daily schedule (or manually) and loads all settings such as the Apify actor input, scoring thresholds, Google Sheets tab, Slack channel, and email recipient.
- Starts the Apify hiring-velocity actor, then waits and polls the Apify Runs API until the run succeeds or fails.
- Downloads the Apify dataset results, validates required fields, and deduplicates records against prior runs to avoid repeat alerts.
- Computes a rule-based hiring momentum score and then sends each record to OpenAI to generate a structured fit score, summary, outreach angle, and red flags.
- Blends the rule score and OpenAI fit score into a final score and tier (hot/warm/cold) and upserts each record into Google Sheets.
- Sends hot records to Slack as a single message and waits for an approve/dismiss decision, then writes the review status back to Google Sheets.
- Emails a daily Gmail digest for warm records, and on Mondays sends a weekly Gmail report built from the last 7 days of Google Sheets rows.
Setup
- Create an Apify token and add an HTTP Header Auth credential (Authorization: Bearer <token>) for the Apify HTTP Request nodes.
- Add Google Sheets OAuth credentials, create a spreadsheet with a tab matching the workflow’s columns, and paste the spreadsheet ID and tab name into the Config values.
- Add an OpenAI credential (or another supported chat model), and confirm the selected model in the OpenAI chat model configuration.
- Add Slack OAuth credentials and set the Slack channel ID in Config (and in the Slack error-alert node if you use a different channel).
- Add Gmail OAuth credentials and set the digest recipient email address in Config for the warm digest and weekly report.
