How Fullscript uses n8n to empower their team and save months of employee time across different use cases

Background

Since 2011, Fullscript has been reshaping healthcare in North America – helping providers practice whole person medicine through education and evidence-based testing. The Fullscript app enables licensed practitioners to purchase prescription supplements and refills, handling the entire end-to-end supply chain from sourcing to delivery. On top, it manages laboratory testing, sending testing kits to patients, and results to practitioners.

Human First, AI Empowered

Fullscript embraces AI throughout the organization, aiming to work more efficiently by using AI in day-to-day tasks, as well as baking AI into its products. As it continued to grow, Fullscript wanted to enable every employee to bring AI workflows to life, without needing to rely on its AI/ML engineering team, who were already focussed on complex AI integrations at the product level. After experimenting with various low-code/no-code solutions, they discovered n8n.

“It’s so intuitive and easy to use. Being able to grab and drop node connections into a workflow helps our teams clearly see how their workflows are structured and where the data is flowing,” said Sahar Rahmani, Director of Internal AI at Fullscript.

“We also have lots of technical users who like n8n because it makes engineering automation so much easier.”

From POC to Production in three months

When Rahmani joined Fullscript, n8n was still in proof of concept mode. Her first mandate as Director of AI was to roll it out to the entire organization. Within three months, her team had created a staging environment accessible to all employees, with a production environment available for the engineering team.

Throughout the rollout process, Fullscript focussed on AI education – holding workshops and training sessions, and creating instructional material that would help all employees to quickly onboard to n8n and learn how to structure AI workflows. The educational push was so successful that more than 130 new workflows were created at a recent organization-wide hackathon.

“We worked hard to ensure that everybody was ready and able to use n8n, and our hackathon really proved our efforts were successful. We had everybody, from super non-technical folks to the Staff engineers working on n8n, building AI workflows,” said Rahmani.

Reducing security investigation by 97%

One workflow that came from the hackathon is set to save 3600 hours of engineering time each year, by reducing security investigations by 97%.

“Investigations used to take weeks, because we never could make it easy, but now it’s just a Slack message,” said Rahmani.

Working in a highly regulated industry, Fullscript has to comply with stringent laws and regulations. The Platform Account Investigations workflow ensures that a practitioner using their Fullscript account can prove their identity, reducing the threat of hacking and malicious usage. Previously, this process could take months, but using n8n, the engineering team took just two days to build a complex workflow that automates security investigations – parsing all available data, gathering feedback, and determining if the report requires further analysis – in a matter of minutes.

Fullscript’s Security Investigations and Monitoring System triggers a workflow to verify the account user. A Slack security bot handles the data verification, and the workflow then summarizes the findings with an AI agent, and produces a comprehensive report for audit in Google Docs, including suggested next steps.

This is a hugely complex workflow and would have taken months to build. But using n8n we did it in just two days. That alone is huge. And on top, it will reduce investigation times from weeks to just half an hour.”

Savings thousands of hours on compliance

Another n8n workflow has saved thousands of hours for the customer care team, reducing a tedious manual task down to a simple AI automation.

In the healthcare industry, personal data must be deleted immediately after calls with practitioners. To ensure compliance, the Fullscript team had been manually listening to recordings within 30 minutes of calls being completed – going through 13,000 monthly calls by hand. But a compliance workflow managed in n8n has dramatically reduced time spent on this task.

We’ve saved hundreds, if not thousands, of hours for the team,” said Rahmani.

“Not only is it about reducing this manual workload, it’s about ensuring security and compliance and that we are providing the best possible service for our customers.”

Fullscript Today

Today, more than 200 Fullscript employees use n8n – more than 30% of the organization, with 23 workflows currently in production, and more to come. Beyond time and cost savings, Rahmani sees a deeper impact.

“For me, a huge impact has been the immense growth of AI literacy and system design thinking within Fullscript, across the entire organization. AI literacy was something we set out to increase, and now seeing just how many people are experimenting, building, and then requesting that we push workflows to production, we know that we’re working with much greater efficiency and individuals will see the benefit of this in their own day-to-day work."

Next Steps

As AI use grows across Fullscript, Rahmani and her team are busy working to push new hackathon workflows to production, and seeing how existing workflows can be optimized and reused across the organization.
