Context
System AI is an automation and web development consulting agency that primarily serves real estate businesses. Founded around a year and a half ago, the team works with clients across the US, Australia, the UK, and Saudi Arabia.
From early on, automation was not an add on service for System AI. It was the core of how the agency delivered value. That is why choosing the right AI orchestration platform mattered. After starting with another automation tool, System AI transitioned to n8n and began building most client solutions on n8n, while also using n8n for internal operations. The team initially adopted the n8n community edition in a self hosted setup on a VPS, then moved to a n8n Business plan as usage grew.
For System AI, n8n became both the delivery engine for clients and a foundation for building the agency itself.
Challenge
System AI's early automation stack created a problem that many new agencies face: growth made costs and limits compound. With cloud execution limits, the team had to worry about monthly caps and rising overhead, which put attention in the wrong place. System AI wanted to spend time building for clients, not managing free trials or budgeting around execution ceilings. That pressure drove the move to n8n and a self hosted approach.
On the client side, one of System AI's real estate customers, The Srama Group, was wrestling with a very common operational bottleneck: repetitive admin work across disconnected tools. Their team relied on virtual assistants for manual data entry, copying details from WhatsApp into Zoho CRM, updating notes, and maintaining an internal property spreadsheet. The workflow also involved checking property portals and moving information between systems.
Even though each task only took four to five minutes, it happened many times each day. The business wanted to stay lean and still operate like a much larger team, and they cared about improving speed to lead across the sales cycle. They needed a workflow that removed copy and paste work without sacrificing confidence in the data that was entered.
Solution
System AI built a practical, production workflow in n8n that turned chat messages into structured updates across the tools the customer already used. The automation started where the team already worked: WhatsApp. Using n8n with Twilio as the WhatsApp number provider, messages could be ingested instantly. The n8n workflow then performed checks to understand whether the message was text or a voice note.
When a voice note arrived, n8n handled downloading it and running an AI step to translate and transcribe it. From there, n8n created the prompt and routed the request down one of two paths depending on intent. One n8n path handled leads, updating Zoho CRM, and another n8n path handled property entries, updating a Google Sheets property tracker.
- In the lead flow, n8n checked whether a lead already existed and then created a new lead or updated notes accordingly.
- In the property flow, n8n wrote to Google Sheets and returned a confirmation back into WhatsApp.
System AI also built sub workflows in n8n for modularity, including message responses that sent the team a direct link to the exact sheet tab where an entry was created. This made verification fast during rollout and debugging, and it also provided ongoing peace of mind. Costs and message logging were tracked as well, including logging via LangSmith alongside the n8n execution paths.
By making the WhatsApp chat the interface, the workflow removed the need for a human middleman. Instead of forwarding tasks to virtual assistants, team members could forward a message to the n8n powered assistant and let n8n carry out the actions across Zoho CRM and Google Sheets.
Results
The most visible impact was speed. System AI reduced the customer's admin task time from four to five minutes to about 10 to 20 seconds using n8n. Based on the customer's volume, that translated into about a day saved every week, alongside a reported task time reduction of over 90%. Additionally, this tool reduced the time taken from onboarding to selling a property from 62 days to 44 days.
The workflow also changed how work was staffed. Because n8n handled the repetitive data movement, virtual assistants were no longer required for that specific process and could be reassigned to higher value work, while the core team stayed lean and moved faster.
For System AI, the results were broader than a single workflow. n8n became the system the agency depended on to deliver across countries and across use cases, from transactional emails and chatbots to client facing automations and internal operations.
Amr described the impact directly: "n8n has definitely helped my business even establish itself, to be honest." He added, "I'd say about 70% of my business, if not more, is based on n8n." With the admin foundation in place, System AI and the customer are now looking at expanding automation into sales workflows, where speed to lead matters most, especially in a market where properties can be sold the same day they're published. The same pattern that worked for operations, a chat driven interface with n8n orchestrating actions behind the scenes, can be extended into larger revenue critical processes.
